Wedding Venue Tour Questions: What to Look For at The Lodge at Seven Oaks

A venue tour is where a wedding stops being a list of ideas and becomes a real place. You walk the path your guests will take, stand where you might say your vows, and find out whether the space fits the day you have in mind. What to Bring to Your Wedding Venue Tour

Bring these:

A rough guest count. A range is fine. At the Lodge, receptions hold up to 300 guests, and a ceremony plus reception on site holds up to 200. Knowing where you land tells you right away which setups make sense.
A date range. Venue rentals run April through October. Come with a first choice and a couple of backups. Popular Saturdays go first, so reach out early.
Package questions. The Lodge offers three wedding packages: Basic, Ultimate and Supreme. Ask for the current package sheet and walk through what each level includes.
Your vendor wish list, even a partial one, so you can ask how each vendor would work in the space.

Start Inside: The Main Lodge and Conference Center

The Main Lodge has a 16-foot vaulted ceiling, knotty pine walls and big windows looking out on the ski slopes. It seats about 215 guests. The Conference Center next door seats about 200, shares the same look and has a fireplace. The Conference Center is part of the Ultimate and Supreme packages, so this is a good moment to picture whether you want one room or two.

Where would the head table, dance floor and bar go for our guest count?
How does the customized floor plan work, and when do we finalize it?
What does indoor table and chair setup cover, and what is up to us?
Which items (linens, dance floor, full setup and teardown) come with which package?

Walk the Flow Between Spaces

Pay attention to how guests will move through the day: ceremony, then cocktails, then dinner, then dancing. At the Lodge, a lighted courtyard with seating sits between the Main Lodge and the Conference Center. It is the natural gathering spot between moments, so stand in it and imagine it full.

While you walk, ask:

Where do guests park, and what is the walk like from the parking area to the ceremony site? (The Lodge has ample parking.)
Where will the caterer work? The Lodge has a full kitchen, and weddings require a full-service caterer, so ask whether your caterer can see the kitchen before the day.
Where would a cocktail hour go, and how will guests find their way from the courtyard to dinner?

See the Dressing Area

The dressing area has three hair and makeup stations with large mirrors, hooks for dresses and tuxes, and private bathrooms.

Good questions here: What time can our hair and makeup team arrive on Saturday? How are the private dressing areas shared between both sides of the wedding party? Where can we keep personal items safe during the reception?

Stand at All Three Ceremony Sites

The Lodge has three ceremony sites plus a large open lawn. Visit each one instead of picking from photos. Stand where you would stand at the front, then look back at where your guests would sit.

Ask:

Which site fits our guest count best?
Are ceremony chairs part of our package, and who sets them up? (This depends on the package.)
What is the rain plan? The Lodge has an indoor ceremony contingency space for guest counts of 200 or fewer. Ask how and when the decision to move inside gets made.

Scout Photo Spots With Your Photographer in Mind

The grounds give photographers plenty to work with: the open lawn, the ski lift area, a grove of trees, pond access, river access and views across the river valley. On your tour, note how far each spot is from the Lodge so you can plan realistic time for portraits. Then browse the wedding photo gallery to see how other couples used the same places.

Ask About Timing, Vendors and the Day Before

These answers shape your whole planning timeline, so get them on the tour:

Access hours. Wedding day access runs Saturday from 8AM to midnight. Friday access runs 10AM to 8PM for decorating or a rehearsal dinner. Ask what can be set up Friday and left overnight.
Vendors. The Lodge has an open vendor policy, and weddings require a full-service caterer. The vendors page lists local caterers, photographers, DJs and florists.
Decor guidelines. Ask for them in writing, including what can go on walls and woodwork and which candles are allowed.
Planning help. Every package includes planning consultations with the on-site events team, plus day-of event staff and event clean-up. Ask how many consultations come with your package and when they usually happen.
Out-of-town guests. Hotels in Ames and Boone offer an event rate when guests call directly and say they are attending an event at Seven Oaks.

Why Tour While the Season Is On

Venue rentals at the Lodge run April through October, and touring during those months means you see the lawn, the courtyard and the ceremony sites in the same stretch of the year your wedding will happen. It is much easier to picture a June or September wedding when you are standing on that grass in person.
